Abstract

The increasing use of information and communication technology (ICT) in day-to-day management is increasingly significant because consumers think the technology can make work easier and thus able to improve the quality of work. However, most educational institutions in developed countries encounter records management problems although the administrative system has been improved. Electronic records management has not given priority by most universities either in terms of accessibility or records protection. The challenge of electronic records management in line with the rapid development of technology today is critical. It requires universities to adapt quickly so that records are managed and administered effectively, efficiently, and with
integrity. This study was conducted to identify the level of internal awareness on the implementation of electronic records management and identify the weaknesses of electronic record management in the Governance and Administration Division (BGP), Universiti Kebangsaan Malaysia. This study uses survey research method through a questionnaire as a technique. A total of 19 respondents were involved in this study. The study found that the level of awareness on the implementation of electronic records is still at a moderate
level. Among the weaknesses of record management are the lack of understanding of the concept of records and the importance of records, the difficulty of classifying existing records, the lack of complete infrastructure, and
the records and information technology staff do not cooperate in succeeding and implementing electronic
records management. The results of the study are expected to help public agencies, the BGP, especially in increasing efforts towards better electronic records management.
